Packing List for Teachers (Not Just Students)

Every blog post tells students what to pack. Almost nobody tells teachers and chaperones what they need. Here is the packing list we give every group leader before a DC trip — the essentials that prevent crises, save time, and keep you sane when managing 50 students in a major city.

Essentials: Do Not Leave Home Without These

Extra phone charger and portable battery pack
Clipboard with emergency contact list (paper backup)
Small first aid kit with blister pads, pain relievers, and antacids
Whistle or loud keychain for emergency group signaling
Ziplock bags for wet clothes, phones, or collected student items
Flashlight for nighttime hotel hallway patrols
Spare room key cards (hotels give these to group leaders for a reason)
Laminated copies of medical forms for quick reference
Cash for unexpected expenses (taxis, emergency food, vending machines)
Comfortable backup shoes — you will walk more than students do

Advanced: The Items Experienced Leaders Bring

Portable whiteboard or large notepad for hotel lobby announcements
Pre-printed name tags for students and chaperones
Student behavior contracts signed by parents (bring copies)
Pre-stamped postcards for students to mail from DC
Group photo checklist — ensure every student appears in at least one official photo
Backup itinerary printed for every chaperone
Small prizes or stickers for students who follow rules exceptionally well
Hand sanitizer and tissues (more than you think you need)

What Teachers Wear Matters Too

Teachers often pack dress shoes or professional clothes, then regret it by Hour 3 of walking. Here is the reality: you will walk 8–10 miles per day. You will stand for hours. You will climb the Lincoln Memorial steps multiple times. Pack like you are going on a hiking trip that happens to involve museums.

  • Comfortable walking shoes — broken in, with arch support. Bring a backup pair.
  • Layers — DC weather changes fast. A light jacket you can tie around your waist is essential.
  • A visible identifier — a branded shirt, lanyard, or hat that makes you instantly recognizable to students in a crowd.
  • A small crossbody bag — keeps hands free for headcounts, phone checks, and grabbing wandering students.

The Most Important Thing You Can Pack

Patience. No, really. You can buy a phone charger at CVS. You cannot buy emotional resilience when a student has a meltdown at the Vietnam Wall or when the bus is an hour late. The teachers who pack patience — and a sense of humor — handle every crisis better than the ones with the most elaborate first aid kits.
