This FAQ is designed to help parents, students, and teachers prepare for a safe, organized, and meaningful educational journey. Q: When and where does the trip begin and end?
A: The tour begins with a private motorcoach pickup from Bay Head School early in the morning of Day 1. After three exciting days in Washington, D.C., the group will depart after the final visit on Day 3 and return home that evening. Exact times for departure and arrival will be confirmed closer to the trip date.
Q: What’s included in the itinerary?
A: The tour includes round-trip motorcoach transportation, hotel accommodations, daily breakfast and dinner, all museum and attraction admissions, a dinner and dance cruise, a professional Tour Director, and night security at the hotel. Highlights include visits to the White House, Holocaust Memorial Museum, Smithsonian Museums, U.S. Capitol, National Archives, DC’s monuments and memorials, Arlington National Cemetery, and attendance at the musical '1776'.
Q: What should students bring?
A: Students should pack light and bring comfortable clothing suitable for walking and changing weather conditions. Essential items include: comfortable shoes, a light jacket, rain gear, refillable water bottle, sunscreen, hat, small backpack, and personal hygiene items. Students should avoid bringing expensive electronics, jewelry, or unnecessary cash. Cell phones are permitted but must be used responsibly.
Behavior, Conduct & Safety
Q: What behavior is expected from students?
A: Students are ambassadors of Bay Head School and are expected to act respectfully, responsibly, and cooperatively throughout the tour. All school rules remain in effect during the trip. Students must follow directions from teachers, chaperones, and the Tour Director at all times. Disruptive behavior, disrespect toward others, or any form of vandalism will not be tolerated. Appropriate language, good manners, and positive attitudes are essential to ensure a fun and successful experience for everyone.
Q: How will safety be managed?
A: Safety is our top priority. Students will be assigned to small groups with a designated chaperone and must always use the buddy system. At each site, a meeting point will be established in case someone becomes separated from the group. All students will wear name badges with emergency contact information. Curfew and room checks will be strictly enforced each night, and professional night security will monitor hotel floors. Students must never leave the hotel without permission and must keep their rooms neat and safe.
Health, Medication & Emergencies
Q: How will medical needs be handled?
A: Parents are required to submit a medical form prior to departure. All prescription medications must be clearly labeled and turned in to the designated chaperone, unless prior arrangements have been made for self-administration. Over-the-counter medications will be administered only by approved adults with parental consent. In case of illness or injury, chaperones will notify parents immediately and seek medical attention as needed.
Q: What happens in an emergency?
A: In any emergency situation, safety and communication come first. Chaperones are trained to follow established emergency procedures and will work with local authorities or medical professionals if necessary. Parents or guardians will be contacted as soon as possible. Every student is encouraged to stay calm, listen to directions, and follow the group leader’s instructions.
Logistics & Contingencies
Q: What if the weather is bad or a site is closed?
A: The trip will continue rain or shine. Students should bring weather-appropriate clothing such as a raincoat or poncho. If a scheduled attraction is unexpectedly closed, an equivalent educational experience will be substituted.
Q: How are rooming arrangements handled?
A: Students will share hotel rooms with same-gender peers, typically 3–4 per room. Room assignments will be made in advance by the school staff. Students must remain in their assigned rooms after curfew. Chaperones and security personnel will monitor the halls during the night to ensure everyone’s safety.
Q: Can students use personal electronics on the trip?
A: Phones and cameras are allowed but should not distract from the educational purpose of the trip. Headphones should be used respectfully and never during tours, performances, or group discussions. Students are responsible for their own belongings — lost or damaged items cannot be replaced.
Q: What are the expectations during site visits?
A: Students should listen carefully to guides, speak quietly, and show respect for all memorials and museums. Photography may be restricted in certain locations, such as the Holocaust Museum and inside the Capitol. Students should never climb on monuments, touch exhibits, or engage in horseplay in public spaces.
