Frequently Asked Questions (FAQ)
Are we responsible for dinners, or are they included in the price?
All lunches and dinners are included in the tour price, except for the dinner on the last day during the trip home.
Do I need to register myself if I want to go with my child?
Yes, if you plan to travel with your child, both of you need to register for the tour as separate participants.
How much is it for a parent to upgrade and stay by themselves or with just their child?
There is an additional cost for parents who wish to stay in a room by themselves or with just their child. Our tour pricing is based on four students per room, so any changes to this arrangement will result in an upgrade fee. The exact amount will be determined once all participants are registered and the rooming list is finalized. We will notify you of the additional cost at that time.
My child only wants to go if they can share a room with me. Is this possible?
Yes, we can arrange for you and your child to share a room together. However, since our pricing is based on four students per room, there will be an additional cost for this arrangement. We’ll provide the final cost once the rooming list is confirmed.
Do the restaurants you use accommodate food allergies?
Yes, we make sure to inform all the restaurants on the tour about any potential allergies your child may have. We work closely with them to ensure they can accommodate dietary restrictions and keep your child safe during meals.
What type of supervision is provided during the tour?
Students are supervised by teachers, chaperones, and professional tour guides throughout the trip. We maintain a proper adult-to-student ratio to ensure safety and oversight at all times. Additionally, at the hotels, we hire security guards to monitor the hallways at night, ensuring that all students are safe and accounted for.
Can I contact my child during the tour?
Yes, students are allowed to bring mobile phones to stay in touch with their families. However, phone use should be kept to appropriate times to avoid disrupting the tour’s activities and must adhere to the school’s guidelines and Mr. Baggerly's rules regarding phone use during the tour.
5. Who can I contact if I have more questions?
Feel free to email me anytime with any questions or concerns, and I’ll be happy to assist!
Cancellation Policy:
UNDERSTANDING OUR REFUND POLICY
The typical tour planning process takes anywhere from 6 to 10 months. Hotel reservations, airline tickets, and motor coaches require non-refundable deposits and are paid (on average) 4 to 5 months in advance. This is why most cancellation deadlines for travel operators are based on a date system (e.g. 90 days prior to departure, 30 days prior to departure, etc.).
Covid- 19 put the entire travel industry in a nearly impossible situation. While many vendors were willing to process refunds, some were (and still are) not issuing refunds to tour operators. Terms and Conditions for Tour Operators (who book tickets for thousands of students at a time) are far more restrictive than for individual travelers.
OUR REFUND POLICY
-
90-60 days prior to departure: TourDCwithUS LLC will retain 25% of the trip cost.
-
60-30 days prior to departure: TourDCwithUS LLC will retain 50% of the trip cost.
-
30 days or less: We regret that no refund will be issued.
